Overview

Depnix is committed to complying with the General Data Protection Regulation (GDPR). This page explains how we handle personal data for users in the European Economic Area (EEA) and outlines your rights under the GDPR.

The GDPR gives EU and EEA residents greater control over their personal data and establishes strict rules on how organisations may collect, process, and store it. We take these responsibilities seriously.

Data Controller

Depnix acts as the data controller for the personal data you provide when using our platform. As a data controller, we determine the purposes and means by which your personal data is processed.

Lawful Basis for Processing

We only process your personal data when we have a lawful basis to do so. The bases we rely on include:

  • Contract performance: Processing necessary to provide our services to you, such as running your deployments and managing your servers.
  • Legitimate interests: Processing for purposes such as fraud prevention, platform security, and improving our services — where these interests are not overridden by your rights.
  • Legal obligation: Processing required to comply with applicable laws and regulations.
  • Consent: Processing for marketing communications, where we will always give you the option to withdraw consent.

What Data We Collect

We collect the minimum amount of personal data necessary to deliver our services:

  • Account data: Name, email address, and password (hashed)
  • Billing data: Payment information processed securely by our payment provider
  • Usage data: IP address, browser type, pages visited, and feature usage
  • Application data: Files and configuration you upload as part of your deployments
  • Communication data: Messages you send to our support team

Your Rights Under GDPR

If you are located in the EEA, you have the following rights regarding your personal data:

  • Right of access (Article 15): You can request a copy of all personal data we hold about you.
  • Right to rectification (Article 16): You can request that we correct inaccurate or incomplete data.
  • Right to erasure (Article 17): You can request deletion of your personal data, subject to legal obligations.
  • Right to restriction (Article 18): You can ask us to limit how we use your data in certain circumstances.
  • Right to data portability (Article 20): You can request your data in a structured, machine-readable format.
  • Right to object (Article 21): You can object to processing based on legitimate interests or for direct marketing.
  • Right to withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting prior processing.

Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected:

  • Account data is retained for the duration of your account and up to 90 days after closure
  • Billing and transaction records are kept for 7 years to comply with financial regulations
  • Support communications are retained for 2 years
  • Server logs and usage data are retained for up to 90 days

International Data Transfers

Some of our service providers may be located outside the EEA. Where we transfer personal data internationally, we ensure appropriate safeguards are in place, such as:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Transfers to countries with an adequacy decision from the European Commission

Cookies

We use essential cookies necessary for the platform to function (such as session cookies). We do not use tracking or advertising cookies without your explicit consent.

Right to Lodge a Complaint

If you believe we have not handled your personal data in accordance with the GDPR, you have the right to lodge a complaint with your local data protection authority. In the EU, you can find your national authority via the European Data Protection Board .
